Construction Proposal Templates

A construction proposal template gives you one consistent way to present a job before work starts. Whether you are bidding a new build, an addition or a commercial fit-out, the proposal should show the client what you will build, what it costs, how long it takes and how payments are tied to progress.

What to include in a construction proposal

  • Project description and site address
  • A detailed scope of work, including what is not included
  • Allowances for items not yet selected, such as fixtures and finishes, with the amount for each
  • A schedule with the start date, major milestones and the estimated completion date
  • The price and a payment schedule tied to milestones
  • How change orders are requested, priced and approved
  • Who pulls permits and who carries insurance
  • Warranty terms and a signature block

An example of a clear scope

Frame the 24 x 30 ft single-story addition per the approved plans, including lumber, hardware, sheathing and wall bracing. Excludes the foundation, roofing, electrical and finish carpentry, which are priced in separate sections.

Common mistakes to avoid

  • Writing vague scope such as "complete the framing", which invites disputes later
  • Leaving out exclusions like permits, utility connections or site clean-up
  • Setting allowances too low to win the bid, then going over them
  • Having no change-order process
  • Forgetting to say how long the price stays valid
